Your daily responsibilities include

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Formulate and deploy transient/group inventory restrictions and pricing strategies designed to maximize revenue from a rate and occupancy perspective

  • Consult with sales managers on rates/inventory suitability of all potential group business

  • Manage the input of data and report generation in the sales management and revenue tracking systems

  • Analyze end of the month reports and compile revenue management recap

  • Management of group cut off dates, securing and reviewing all rooming list, and monitor group block activity

  • Facilitate and lead daily business review and weekly sales strategy meetings

  • Manage and monitor reservations call center to maintain consistency with property level inventory strategies and align with available rate pricing strategy

  • Prepare weekly and monthly occupancy and revenue forecasts

  • Assist in annual budget and sales strategy planning

  • Communicate and coordinate daily events reports, banquet signage, method of payments, 10 day packet, prospect/tentative report etc. to the appropriate departments

  • Prepare accurate files for the Front Office team prior to each groups’ arrival

  • Enter each rooming list and individual reservations for each group and corporate transient account. Communicate with the Front Office team regarding rooming lists and individual delegate reservations

  • Assist in watching room blocks based on history and pick-up trends. Runs weekly reports.

  • Check sell strategy and room shortages

  • Assign rooms according to guest requests and preferences whenever possible.

  • Pre-register designated guests and prepare key packets.

  • Organize and coordinate check-in/pre-registration procedures for arriving groups.

  • Set up accurate accounts for each guest upon check-in according to their requirements (ie., sharewiths, separate room/tax/incidentals, comp).

  • Review out-of-order rooms daily to determine status and estimated date for return to room inventory.

  • Ensure rates match market codes and document exceptions.

  • Identify any over-commitments by room type (e.g. bedding, view, type).

  • Perform duplicate reservation requests; block rooms when necessary.

  • Confirm reservations and cancellations.

  • Run daily reports.

  • Review room demand and special request demand for next day, block where necessary.

  • Coordinate with Housekeeping to track readiness of rooms for check-in.

  • Greet, register, and assign rooms to guests of the hotel.

  • Verify customers' credit, and establish how the customer will pay for the accommodation.

  • Keep records of room availability and guests' accounts using hotel computer systems.

  • Compute bills, collect payments, and make change for guests.

  • Issue room keys

  • Review accounts and charges with guests during the check out process.

  • Post charges, such as those for rooms, valet, laundry, food, liquor, or telephone calls, to ledgers by using hotel computer systems.

  • Transmit and receive messages, using telephones or telephone switchboards.

EDUCATION and/or EXPERIENCE:

High school diploma or equivalent and a minimum of six months related experience and/or training; or equivalent combination of education and experience.
